Why Fall or Winter Events May Be More Suitable for Your Organization

The sun is shining and the weather is warm. It’s finally summer! As fabulous as summer is (especially when we’re in the deep freeze for months), it’s important to determine whether or not summer events are more suitable for your organization or if winter and fall events are. There are a couple of determining factors and I thought I would share some ideas with you to help you decide when the best time is to schedule your events.

Your Audience

Because summer is so great, especially here in Alberta, many choose to use the summer months to vacation with family, visit a new place, or take some well-deserved time off. But what does this mean for you and your event? As many are out of the office and winding down, it may not be in your favor to plan a summer event as attendance levels may be lower than anticipated. In this case, it would be more suitable to plan your event for perhaps the upcoming fall or even winter! A great way to find out is by polling your audience!

The Type of Event

Depending on the type of event you are planning, it may not be suitable for the summer months. Although summer usually means sunshine, the weather can also quickly turn into thunderstorms, especially here in the prairies. If you’re planning an outdoor event and still want to benefit from the warm weather, fall may be a better alternative, and here’s why:

  • The summer months may be too warm (this leads to discomfort)
  • Fall provides the warmth without the sweltering heat and unexpected weather
  • Benefit from the colours of the changing leaves

The Event Theme

In some cases, your event may have a theme and you should think about if it is tied to a certain season. Of course, you won’t be holding your Christmas event in mid-June but other events are more suited for different seasons. For example, gardening events may be more suited for the spring season (at the start of the gardening season), while a yearly planning corporate event may be more suitable for the end of the year/fiscal year.

Look at the Trends

When you take a look at event trends there are some notable things to keep in mind. Often you’ll notice busy times for corporate events that take place in the fall. This is no coincidence. Planning for the next year often starts to take place in the fall so that budgets are approved before leaving for the Christmas holidays.

Before scheduling your event, take a look at an events calendar in your local area, for your organization, and attendees.
